What to do, and when, without rushing
A month-by-month planning timeline built specifically around Ibiza's season, supplier availability and guest travel.

18 to 14 months out
Set the guest number and budget. Choose a month, not a date. Visit the island if you can — one trip now saves five decisions later. Secure the venue and the planner.
13 to 10 months out
Lock the caterer and the photographer; the best of both are booked a year ahead for peak weekends. Send a save-the-date early — guests are booking flights and villas, not just a Saturday.
9 to 6 months out
Design and production: furniture, lighting, styling direction, florals. Music and entertainment. Reserve a block of accommodation, and confirm the welcome dinner venue.
5 to 3 months out
Menu tasting, transport plan, timings, wet-weather plan, guest information site. This is also when the guest list finally becomes real.
2 months to the week before
Final numbers, seating, run sheet, supplier schedule, licences. Arrive on the island at least three days ahead.
In Ibiza the last month is about logistics, not decisions. If you are still making creative choices in the final weeks, something was left too late.
